How to Read Handwritten Military Records

You've found your ancestor's service record on RecordSearch. You've opened the digital copy. And now you're looking at what appears to be a page of elegant squiggles written by someone who was either in a tremendous hurry or actively trying to create a cipher. The abbreviations are one problem - and there's a comprehensive guide to those here. But the handwriting itself is the other.
This isn't about learning calligraphy. It's about practical strategies for extracting information from documents that were written quickly, by multiple people, using pens and ink that don't exist anymore, over a hundred years ago. The good news is that military clerks were methodical people who used predictable patterns. Once you crack how one clerk formed their letters, you can read everything they wrote.
Why military records are harder to read than other old documents
It's not just that the handwriting is old. Military service records have specific characteristics that make them particularly challenging:
The service and casualty form - the most information-rich page in the whole file - was written on by multiple clerks over the course of a person's service. Each clerk had different handwriting. You might see three, four, or even more distinct hands on a single page, each using different ink colours and nib widths. An entry from 1914 might be in careful copperplate, while an entry from 1918 might be a hurried scrawl written in pencil during active operations.
The clerks weren't writing for posterity. They were processing hundreds of records a week and used heavy abbreviations, contractions, and shorthand that made sense within the military administrative system but aren't intuitive to modern readers. A single entry might read "TOS 2/1 Bn ex 14 AGH m/i gruber reo" - which is a perfectly clear sentence if you're a military clerk in 1917, and completely opaque if you're a grandchild in 2026.
Then there's the physical deterioration. These documents are over a century old (for WWI) or 80+ years old (for WWII). They've been folded, filed, handled, moved between repositories, and eventually scanned. Ink has faded. Pencil entries have become ghostly. Pages have been damaged by water, insects, or the simple passage of time. The digitisation process captures what's there, but a scan of a faded original is still faded.
Know which page you're reading
Before trying to read the handwriting, it helps to know what you're looking at. Australian service records typically contain several standard forms, each with a different purpose and a different level of handwriting difficulty.
The attestation paper is usually the first page. It was completed at the time of enlistment and records personal details: name, age, address, occupation, religion, next of kin, and marital status. In WWI, this was often filled in by the person enlisting or a recruiting officer. In WWII, many attestation forms were typed. This is typically the easiest page to read because it was completed carefully and at leisure. The person's signature at the bottom is worth checking - it can help you confirm the spelling of their name.
The service and casualty form (Form B103) is where most of the handwriting challenges live. It's a multi-column form that tracks every movement, posting, hospitalisation, promotion, and disciplinary action across the person's entire service. It was written on over months or years by different clerks in different locations. This is the page that contains the richest information and the hardest handwriting.
The discharge form summarises the person's total service. Not every record includes one. When present, it's usually more legible because it was prepared as a formal document.
Correspondence and other papers might include letters of reference from employers, medical reports, or personal letters. These vary widely in legibility.
Practical strategies that actually work
1. Start with what you can read
Don't start with the hardest entry. Scan the whole page and find words you can read with confidence: dates (which are mostly numbers), place names you recognise, common abbreviations like "TOS" or "SOS", or the person's name where it appears. These anchor points give you a reference for how each clerk formed their letters.
2. Learn the clerk's alphabet from known words
Once you've found a readable word, study how that clerk wrote each letter. If you can read the word "England", you now know how that clerk writes E, n, g, l, a, d. Apply those letter forms to decode the entries you can't read. Military clerks were generally consistent within their own entries - they might have unusual letter forms, but they used them the same way every time.
3. Use the form's structure as a guide
The service and casualty form has columns. Even if you can't read the handwriting, you know what kind of information belongs in each column: dates go on the left, the source of the instruction comes next, then the event description, then remarks. If an entry is in the date column, it's a date. If it's in the event column, it's probably a movement abbreviation (TOS, SOS, M/I, M/O) followed by a unit name. This context dramatically narrows what each word could be.
4. Cross-reference with other pages in the file
The same information often appears in multiple places. The unit listed on the attestation form should match the first TOS entry on the casualty form. The discharge date on the discharge form should match the final entry on the casualty form. If you can read one but not the other, you've got your answer.
5. Zoom in - and then zoom in more
Digital images from RecordSearch can be expanded significantly. Individual letters that look identical at normal zoom often reveal their differences when enlarged. The loop on an "e" versus the dot on an "i", the tail on a "g" versus a "q" - these distinctions become visible at higher magnification.
6. Adjust brightness and contrast
If you have basic image editing software (or even the photo viewer on your phone), adjusting brightness and contrast can bring out faded ink. Pencil entries that are barely visible at normal settings often become readable with increased contrast. Some researchers also find that inverting the image colours (viewing it as a negative) helps with particularly faded text.
7. Read the line above and below
Military entries often follow patterns. If the line above says "TOS 14 Bn" and the line below says "SOS 14 Bn", the line in between is probably a hospital admission, leave period, or disciplinary entry. The context of surrounding entries is one of the most powerful tools you have.
8. Leave blanks and come back
Don't get stuck on one word. Write down what you can read, leave a blank for what you can't, and move on. Often, a word that's unreadable in isolation becomes obvious once you've read the rest of the page and understand the pattern.
Letters that commonly trip people up
Early 20th-century cursive has some consistent problem spots. Here are the letter pairs that cause the most confusion on Australian service records:

WWI records vs WWII records
There's a meaningful difference in readability between the two wars. WWI records are almost entirely handwritten. The attestation form, the casualty form, and any correspondence were all completed by hand using dip pens and ink. Multiple clerks contributed to each record over the four years of war, and the quality of handwriting varies enormously.
WWII records are more standardised. Many attestation forms were typed, and the overall format is more consistent. However, the service and casualty form is still largely handwritten, and RAAF and Navy records have their own layouts that can take some getting used to.
